Trademark renewal: managing dates and records together
Published
Trademark renewal is an administrative task that a growing business can overlook. Even as products and teams change, responsibility for the file should remain visible. Prepare a shared record rather than relying on an accounting list or a former employee’s inbox. Keeping the application number, owner, contact details and official status together makes it clearer who will manage the procedure.
Under Article 23 of the Industrial Property Law, protection runs for 10 years from filing and can be renewed in 10-year periods. Renewal is requested in the 6 months before expiry, or in the following 6 months under additional procedural conditions. Verify the applicable date and requirements against the register with your representative.
Keep each mark on a separate row. Different product names, logo versions and country files may be separate records. An email confirming one procedure should not be read as confirmation for the entire portfolio. Record which file the request concerns and link the transaction document to that row. When responsibility changes, explain the table to the new person rather than simply moving documents into a folder.
Renewal preparation is a useful opportunity to review ownership and representation details. The company name or address may have changed, or another company may have acquired the file. Send commercial-record changes to the portfolio manager regularly so they are not discovered on the transaction day. Preserve dated supporting documents. Ask how renewal and record updates will be handled instead of assuming one automatically completes the other.
Organise use records separately. Packaging, sales records and promotional samples should show which version was used for which product. Do not treat renewal preparation as a solution to every historical use issue. Tell your representative about discontinued product lines or changed logos. Understanding how the portfolio relates to today’s business gives a fuller picture than a deadline list alone.
After the transaction, check the submitted request, file number and official tracking information together. Before marking it complete internally, state which stage has been completed and who handles further follow-up. An organised portfolio is less vulnerable to staff changes and makes preparation a sustainable workflow rather than a last-minute scramble. Check every file against its own records.
